The 30-Minute AI Audit
You're spending hours on tasks AI could handle in minutes. The problem isn't that you don't use AI — it's that you don't know where to use it.
This playbook fixes that in 30 minutes.
What You'll Need
- A timer (seriously, time-box this)
- Your calendar from the last 2 weeks
- A text editor or notebook
Step 1: The Time Dump (10 minutes)
List every recurring task from the last two weeks. Don't filter. Don't judge. Just dump.
Think about:
- Email: How many hours reading, replying, sorting?
- Writing: Reports, proposals, social posts, documentation?
- Research: Competitor analysis, market research, due diligence?
- Data: Spreadsheet work, reporting, analysis?
- Meetings: Prep, notes, follow-ups?
Write the estimated hours next to each.
Step 2: The AI Fit Score (10 minutes)
For each task, score it 1-5 on these two dimensions:
Repeatability (1 = unique every time, 5 = nearly identical each time)
Risk Tolerance (1 = errors are catastrophic, 5 = imperfect is fine)
Multiply the two scores. Tasks scoring 15+ are your AI candidates.
Examples:
| Task | Repeatability | Risk Tolerance | Score | AI Candidate? |
|---|---|---|---|---|
| Weekly status report | 5 | 4 | 20 | Yes |
| Contract negotiation | 2 | 1 | 2 | No |
| Social media captions | 4 | 5 | 20 | Yes |
| Summarizing meeting notes | 5 | 4 | 20 | Yes |
| Client proposal | 3 | 2 | 6 | Maybe later |
Step 3: Pick Your First Win (10 minutes)
From your AI candidates, pick one task that:
- You do at least weekly
- Takes more than 30 minutes each time
- You wouldn't mind being 80% as good (the AI will get better, you'll refine prompts)
That's your first AI automation target.
What to Do Next
- Open Claude, ChatGPT, or your AI tool of choice
- Describe the task and give it an example of your previous output
- Ask it to do the task
- Compare the output to your manual version
- Iterate on the prompt until you're saving real time
"The best AI workflow is the one you actually use. Start small, get a win, then expand."
The Math
If your first AI task saves 2 hours per week, that's:
- 104 hours per year saved
- 13 full working days back
- At $50/hour, that's $5,200 in recovered time
From a 30-minute audit.
